Program Administrative Assistant

Position: Program Administrative Assistant
Location: Camp Erdman
Salary Range: $10.50 - $12.00/hour
Status: Full Time/Non-Exempt
POSITION SUMMARY:

This position supports the work YMCA Camp H.R. Erdman, committed to strengthening community by providing positive life changing experiences for individuals, groups, and families. This position is responsible marketing (traditional & social media), following-up with inquiries, creating/inputting registrations and assisting other departments in providing guests and campers with an excellent experience before and during their stay at Camp Erdman.

ESSENTIAL FUNCTIONS:
1.    Answer incoming calls and welcome walk-in visitors and guest that enter the front office
2.    Market Summer & Family Camping programs (traditional print media & social media)
3.    Respond and follow-up with all direct and indirect inquires within 48 hours
4.    Assist, guide, and coordinate guest services to meet guest’s desired camping experience/outcome
5.    Create and input camper registrations into ActiveNet system
6.    Coordinate and work collaboratively with program and food service staff to ensure accurate schedules, special meal selections, and meal counts for summer and family camps
7.    Coordinate and work collaboratively with grounds, maintenance, and housekeeping staff to ensure facilities are ready for summer & family campers
8.    Follows all standard operating procedures, YMCA polices, and guidelines
9.    Attends meetings and trainings as assigned
10.    Performs other duties as requested

QUALIFICATIONS:
1.    Previous experience working with groups (hospitality industry and/or camping)
2.    Previous experience in customer service (answering phones, greeting customers, handling customer concerns)
3.    Computer experience (MS Word, Excel, Publisher, PowerPoint -  Google Docs, Sheets, Forms, Slides)
4.    At least 18 years of age
5.    CPR, First Aid, AED certifications within 30 days of hire date
6.    Current TB Test

WORK ENVIRONMENT & PHYSICAL DEMANDS:
•    General office setting/environment
•    Requires working inside and outside of the office as needed or assigned
•    Requires sitting for extended periods of time, frequent standing, and walking
•    Requires alertness and attention to detail
•    Requires standing, walking, and occasionally lifting of items
•    Frequent use of office equipment and handling of documents
•    Occasional pushing, pulling, lifting, and carrying up to 25lbs
•    Preferred availability – Flexible based on work flow and guests requirements/needs
•    Extended hours as assigned
